Overview
In the Multi-Billing Area, you can set MediFile up to charge the same percentage of the standard Health Care fee for all agencies, or you can set it up to charge a different percentage depending on the Agency and the category (Modality) of service provided.
This document describes how to set MediFile up for either of these.
Admin Preference Setting
There is one setting in the Admin preference that configures MediFile to use either a global setting for all agencies or to use the % as determined by the Address Book record for the agency.
This is an Administration preference that will set a rule for the whole MediFile system. To set this you will need to have Administrator capabilities.

If you were to configure MediFile so that it would not use Agency specific % of the electronic amount, then you need to set the % to be used for all agencies. This is set in the Administration Preferences. This is located right above the previously mentioned switch.

As these settings are specific to each billing agency they need to be set in each Agency's record. Therefore you will need to be in the Address Book file where each of these records is maintained.
Task Menu --> Address Book
Search for the Agency record you want to set up.
Once you have found the record, open the record in modify mode.
Go to the second page of the record
Press on the Detail button to bring up the configuration dialog.
In the configuration box you can set up a different percentage for each category (modality). For each percentage you want to configure you will need to add a rule. To add an item enter the information and then click on the add button.
There are three pieces of information you need to enter into each rule. The information is:
Rule: -- Must be Category in all these cases
Specific: -- This is the category (modality) This must match HSCode types.
Detail: -- This is the percentage you want to charge. Therefore if you want to charge 30% enter 30. If you want to charge 150% enter 150.
Once you have entered all the rules click on the Save button for the Billing Rules Detail, and also for the Address Book record.
How it Works
When you enter a HSCode in the MultiBilling area MediFile determines if the clinic wide settings are to use the same percentage for all agencies, or to use agency specific fees.
MediFile searches for the HSCode in the HSCode file. If it finds it, it will calculate the amount based on the rules.
If you have MediFile set to use the same % for all Agencies it will take the percentage entered into the Admin preference and multiply it by the fee amount indicated in the HSCode record. That is the amount that will be entered for the billing.
If you have MediFile set to use the Agency Specific % MediFile will have loaded the rules into memory once you entered the Agency you are billing for. When you enter the HSCode, MediFile find the HSCode record, determines the category it is in. It then looks for that category in the rules for that Agency. It then uses the percentage stored in the Agency record for that category.
Therefore the following would be the case:
HSC entered is X20 (Chest X-Ray)
Modality is: `General'
In the Agency Record there is a rule for:
Rule: Category
Specific: General
Detail: 30
The HSCode record indicates that the electronic HSCode fee is $17.44
MediFile will then take $17.44 multiply it by 30% to arrive at a fee for the service of $5.23
In the case where MediFile does not find a specific rule for the agency it will use the global preference setting. Keeping this in mind, you do not have to set up each category for each agency if the rate will be the same as the global setting.
